Learn how to efficiently import contacts from external sources and export your contacts from AchieveApex.

Importing Contacts

AchieveApex allows you to import contacts in bulk, saving you time when you need to add multiple contacts at once. This is especially useful when migrating from another CRM or when you have a list of contacts from an external source.

Preparing Your Contact Import File

Before importing contacts, you need to prepare your data file. AchieveApex accepts CSV and Excel (XLSX) file formats.

Your file should include the following columns:

  • first_name: The contact's first name
  • last_name: The contact's last name
  • email: The contact's email address
  • phone: The contact's phone number
  • phone_country_code: The country code for the phone number (e.g., +1, +44)

You can also include any custom fields your organization uses, such as:

  • Company name
  • Job title
  • Address
  • Social media profiles
  • Any other custom fields specific to your business

Importing Contacts

To import contacts into AchieveApex:

  1. Navigate to the Contacts page in your AchieveApex dashboard
  2. Click the menu icon (three dots) in the top-right corner
  3. Select "Import Contacts" from the dropdown menu
  4. Click "Choose File" and select your prepared CSV or XLSX file
  5. Click "Upload" to proceed to the next step

Mapping Columns

After uploading your file, you'll need to map the columns in your file to the appropriate fields in AchieveApex. This ensures that your data is imported correctly.

  1. For each column in your file, select the corresponding AchieveApex field from the dropdown menu
  2. If a column doesn't have a corresponding field, you can select "Do not import"
  3. For custom fields, you can either map to existing custom fields or create new ones
  4. Click "Next" to continue

Reviewing and Confirming the Import

Before finalizing the import, you'll see a preview of the data to be imported. This allows you to verify that everything looks correct before proceeding.

  1. Review the preview data to ensure it appears as expected
  2. Check for any warnings or errors highlighted in the preview
  3. If everything looks good, click "Import Contacts" to begin the import process
  4. Wait for the import to complete (the time will vary depending on the number of contacts)

Note: If a contact with the same email address already exists in your AchieveApex account, you can choose to skip the import or update the existing contact with the new information.

Import Results

Once the import is complete, you'll see a summary of the results, including:

  • Number of contacts successfully imported
  • Number of contacts skipped (duplicates or errors)
  • List of any errors encountered during import

If there were any errors during the import, you can download a file containing only the failed records, correct the issues, and attempt to import them again.

Exporting Contacts

AchieveApex allows you to export your contacts for use in other systems or for backup purposes. You can export all contacts or a filtered subset based on your needs.

Exporting All Contacts

To export all your contacts:

  1. Navigate to the Contacts page in your AchieveApex dashboard
  2. Click the menu icon (three dots) in the top-right corner
  3. Select "Export Contacts" from the dropdown menu
  4. Choose your preferred file format (CSV or XLSX)
  5. Click "Export" to download the file

Exporting Filtered Contacts

You can also export a specific subset of contacts by applying filters before exporting:

  1. Navigate to the Contacts page in your AchieveApex dashboard
  2. Apply any desired filters using the filter button
  3. Once your desired contacts are displayed, click the menu icon and select "Export Contacts"
  4. Choose your preferred file format (CSV or XLSX)
  5. Click "Export" to download only the filtered contacts

Bulk Actions Export

You can also export a specific selection of contacts using the bulk actions feature:

  1. Select the checkboxes next to the contacts you want to export
  2. Click "Bulk Actions" in the top menu
  3. Select "Export" from the dropdown menu
  4. Choose your preferred file format (CSV or XLSX)
  5. Click "Export" to download only the selected contacts

Tip: When exporting contacts, all fields will be included in the export file by default. If you need only specific fields, you can create a custom view with only those fields visible before exporting.

Best Practices for Contact Import & Export

  • Clean your data before importing to ensure high-quality contact records
  • Use a consistent format for phone numbers, preferably with country codes
  • Regularly export your contacts as a backup
  • When importing large datasets, break them into smaller batches of 1,000-2,000 contacts
  • After importing, verify a sample of contacts to ensure data was imported correctly
  • Consider mapping tags during import to automatically categorize your contacts

Troubleshooting Common Import Issues

Duplicate Contacts

If you encounter duplicates during import, you can choose to skip them or update the existing records. For better control, consider using the "Update existing contacts" option and select which fields to update.

Invalid Email Formats

Ensure all email addresses follow the standard format (username@domain.com). Common issues include missing @ symbols, spaces in addresses, or invalid domains.

Phone Number Format Issues

Phone numbers should be in a consistent format. For best results, separate the country code in its own column and remove any special characters (spaces, dashes, parentheses) from the phone number.

Character Encoding Problems

If special characters appear incorrectly after import, ensure your CSV file is saved with UTF-8 encoding. Most spreadsheet applications allow you to select this when saving the file.
