Working with Product Media

Adding visual assets to your products helps your sales team better showcase offerings to customers. AchieveApex supports both image and video uploads for product media.

Types of Supported Media

AchieveApex supports the following media types for products:

  • Images: JPEG and PNG formats (up to 5MB per image)
  • Videos: MP4 and MOV formats (up to 100MB per video)

Adding Media to Products

To add media to a product:

  1. Navigate to the product details page by clicking on a product in the products list
  2. Scroll to the Media section
  3. Click the "Upload" button or drag and drop files into the designated area
  4. Select the image or video file from your computer
  5. The file will be automatically uploaded and associated with the product

Best Practice: Use high-quality, professional images for your products. Consistent image sizes, backgrounds, and lighting create a more professional appearance in your product catalog.

Managing Multiple Media Files

You can add multiple images and videos to each product. AchieveApex provides tools to organize these files:

  • Reordering: Drag and drop media items to change their display order
  • Setting Main Image: The first image in the sequence becomes the main product image
  • Deleting: Remove unwanted media by clicking the delete icon on each item

The main image (first in the sequence) is particularly important as it's used throughout AchieveApex:

  • In product selection dropdowns when adding products to deals
  • In the products list view (if thumbnail display is enabled)
  • On reports and dashboards that include product information

Media Best Practices

  • Use Consistent Aspect Ratios: Maintain the same dimensions for all product images
  • Include Multiple Angles: Provide comprehensive visual information about physical products
  • Add Context: Show products in use or with size references when helpful
  • Optimize File Sizes: Compress images without losing quality for faster loading
  • Use Videos Strategically: Include short videos for products that benefit from demonstration

Managing Product Variants

Product variants allow you to manage different versions of the same basic product, such as different sizes, colors, or configurations, while keeping them organized together.

When to Use Product Variants

Product variants are ideal for:

  • Products available in multiple colors, sizes, or materials
  • Subscription offerings with different durations (monthly, annual)
  • Software with different feature tiers (basic, professional, enterprise)
  • Bundles with different combinations of included items

Important: Using variants keeps your product catalog cleaner and more manageable compared to creating separate products for each variation. It also makes it easier for your sales team to find the right product option.

Creating Product Variants

To create variants for a product:

  1. Navigate to the product details page
  2. Scroll to the Variants section
  3. Click "Add Variant"
  4. Fill in the variant details:
    • Variant Attributes: Size, color, material, or other distinguishing features
    • Price: Specific pricing for this variant (can differ from the main product)
    • SKU: Unique identifier for the variant
    • Stock Quantity: Available inventory (if applicable)
    • Status: Whether the variant is active or inactive
  5. Click "Save" to create the variant

Managing Variant Attributes

Depending on your product type, you might use different attributes for variants:

  • Physical Products: Size, color, material, style
  • Digital Products: Feature set, user limits, storage capacity
  • Subscriptions: Duration, service level, included features
  • Services: Timeframe, deliverables, support level

Pro Tip: Create a consistent naming convention for variants. For example, if you sell t-shirts, you might use "T-Shirt - Blue - Small" as the variant name, making it clear how it differs from other variants.

Editing and Managing Variants

To edit existing variants:

  1. Go to the product details page
  2. Find the variant in the Variants section
  3. Click on the variant to open its details
  4. Make the necessary changes
  5. Click "Save" to update the variant

You can also deactivate or delete variants that are no longer needed:

  • Deactivating: Changes the variant status to inactive (preferred method)
  • Deleting: Permanently removes the variant from the system

Using Variants in Deals

When adding products to deals, variants appear as options under their parent product:

  1. In the deal's Products section, click "Add Product"
  2. Select the parent product from the dropdown
  3. If variants exist, you'll see an option to select the specific variant
  4. Choose the appropriate variant based on customer requirements
  5. Configure quantity, pricing, and other details as needed
  6. Add the variant to the deal

Pro Tip: When setting up variants, make sure the differences between options are clear to your sales team. Consider adding detailed descriptions that highlight the unique features or benefits of each variant.

Advanced Media and Variant Strategies

Media for Variants

You can add specific media for each variant to highlight its unique attributes:

  1. Select a variant in the product details page
  2. Navigate to the Media section for that variant
  3. Upload images or videos specific to that variant

This is particularly useful for showing different colors, sizes, or configurations of physical products.

Batch Uploading Media

For products with multiple media files:

  1. In the Media section, use the "Upload Multiple" option
  2. Select all images or videos you want to upload
  3. Arrange them in the desired order after upload

Creating Variant Groups

For complex products with multiple variation types (e.g., size AND color), you can create organized variant groups:

  1. Create the main product
  2. Add variants for the primary variation type
  3. For each of those variants, create sub-variants for the secondary variation type

Best Practices for Media and Variants

  • Be Consistent: Use the same image style and background for all product media
  • Name Clearly: Give variants descriptive names that clearly indicate differences
  • Use SKU Patterns: Create a logical pattern for variant SKUs (e.g., BASE-SKU-COLOR-SIZE)
  • Limit Variant Types: Don't create too many different types of variants for a single product
  • Optimize Images: Compress images before uploading to improve system performance
  • Update Regularly: Keep media and variant information current as products evolve
