Understanding Contact Segments

Contact segments are groups of contacts that share specific characteristics or meet certain criteria. Segmentation allows you to organize your contacts into meaningful groups for targeted communications, marketing campaigns, and analytics.

Key benefit: With segments, you can send personalized messages to specific groups of contacts rather than using a one-size-fits-all approach, resulting in higher engagement and conversion rates.

Creating Contact Segments

AchieveApex allows you to create segments based on a wide range of contact properties and behaviors. This section explains how to create and manage contact segments.

Accessing the Segments Feature

To start creating segments:

  1. Navigate to the "Campaigns" section in your AchieveApex dashboard
  2. Click on the "Segments" tab
  3. Click the "Create Segment" button to begin

Basic Segment Creation

To create a new segment:

  1. Click "Create Segment" to open the segment builder
  2. Enter a name for your segment (e.g., "Active Customers" or "Newsletter Subscribers")
  3. Optionally, add a description to help team members understand the segment's purpose
  4. Begin adding conditions to define your segment (see next section)
  5. Click "Save" to create the segment

Defining Segment Conditions

The power of segments lies in the conditions you define. AchieveApex offers a flexible query builder that allows you to create complex conditions using AND/OR logic.

You can create segments based on:

  • Contact Properties: Basic fields like name, email, phone, location, etc.
  • Custom Fields: Any custom fields your organization has defined
  • Tags: Any tags assigned to your contacts
  • Company: Information about the company associated with the contact
  • Engagement Behavior: How contacts have interacted with your communications
  • Communication Channel: The channels through which contacts communicate (WhatsApp, Email, etc.)

Creating Conditions

To add conditions to your segment:

  1. Click "Add Condition" in the segment builder
  2. Select the field/property type (e.g., Contact Properties)
  3. Select the specific field (e.g., "Email")
  4. Choose an operator (e.g., "contains," "equals," "is empty")
  5. Enter the value for the condition
  6. Click "Apply"

Using AND/OR Logic

For more complex segments, you can combine multiple conditions using AND/OR logic:

  • AND: Contacts must meet all conditions to be included in the segment
  • OR: Contacts must meet at least one of the conditions

To add groups of conditions:

  1. Click "Add Group" to create a new group of conditions
  2. Set the logical operator between groups (AND/OR)
  3. Add conditions to each group as needed

Example Segment Conditions

Here are some examples of common segment conditions:

Active Customers

  • Contact has made a purchase in the last 3 months OR
  • Contact has opened an email in the last 30 days AND
  • Contact is not tagged as "Churned"

Newsletter Subscribers

  • Contact has a non-empty email AND
  • Contact is tagged as "Newsletter Subscriber" AND
  • Contact has not unsubscribed

WhatsApp Contacts

  • Contact has a non-empty phone number AND
  • Contact has engaged via WhatsApp at least once

Previewing and Testing Segments

Before finalizing a segment, you should preview it to ensure it includes the correct contacts. AchieveApex provides a preview feature that shows you how many contacts match your conditions and allows you to see a sample of those contacts.

Previewing a Segment

To preview your segment:

  1. While creating or editing a segment, click the "Preview" tab
  2. The system will run your query and show the total number of matching contacts
  3. You'll see a sample list of contacts that match your criteria
  4. If needed, go back to the "Conditions" tab to refine your segment

Tip: For large contact databases, fine-tune your segment conditions to ensure you're targeting the right audience. Start with broader conditions and then gradually refine them based on the preview results.

Managing Segments

Once you've created segments, you can manage them from the Segments dashboard.

Editing Segments

To edit an existing segment:

  1. Navigate to the Segments dashboard
  2. Find the segment you want to modify
  3. Click the "Edit" icon (pencil) next to the segment name
  4. Make your changes to the name, description, or conditions
  5. Click "Save" to update the segment

Duplicating Segments

If you want to create a new segment similar to an existing one, you can duplicate it:

  1. Find the segment you want to duplicate
  2. Click the "More" menu (three dots) next to the segment
  3. Select "Duplicate"
  4. Edit the duplicated segment as needed
  5. Save it with a new name

Deleting Segments

To delete a segment you no longer need:

  1. Find the segment you want to delete
  2. Click the "More" menu (three dots) next to the segment
  3. Select "Delete"
  4. Confirm the deletion when prompted

Note: Deleting a segment does not delete the contacts within it; it only removes the segment definition.

Using Segments

Once you've created your segments, you can use them in various ways throughout AchieveApex.

Using Segments for Marketing Campaigns

Segments are most commonly used for targeted marketing campaigns:

  1. Navigate to the Campaigns section
  2. Create a new campaign
  3. When defining the audience, select the segment you want to target
  4. Create your campaign content and schedule
  5. Launch the campaign

Beyond marketing campaigns, segments can be used for:

  • Analytics: Track metrics for specific groups of contacts
  • Exports: Export specific segments for use in other systems

  • Personalized Communication: Tailor your messaging based on segment characteristics

Best Practices for Contact Segmentation

  • Keep segments focused: Create segments with clear purposes rather than overly broad ones
  • Use meaningful names: Name segments descriptively so team members understand their purpose
  • Regularly review and update: Contacts change over time, so review your segments periodically
  • Start simple: Begin with basic segments and gradually add complexity as needed
  • Document your strategy: Keep track of which segments you've created and why
  • Test different approaches: Experiment with different segmentation strategies to see what works best

Dynamic vs. Static Segments

AchieveApex segments are dynamic by default, meaning the contacts included in the segment will change automatically as contacts meet or no longer meet the defined conditions. This ensures your segments are always up-to-date.

If you need a static segment (a fixed list of contacts that doesn't change automatically), you can:

  1. Create a dynamic segment with your desired conditions
  2. Export the contacts from this segment
  3. Create a new segment based on contact IDs rather than conditions
